Refund Policy

We stand behind the quality of our work and aim to resolve any issues promptly and fairly. This policy explains our approach to refunds, deposits, and payment disputes.

01Deposits

Deposits paid at the start of an engagement are non-refundable unless Sofeat is in material breach of the agreed Statement of Work (SOW). Deposits cover the cost of initial scoping, planning, and resource reservation.

02Fixed-Scope Projects

  • If you cancel before work begins, the deposit is non-refundable.
  • If you cancel after work has commenced, you will be invoiced for all work completed to date at our standard day rate, in addition to any non-cancellable third-party costs incurred on your behalf.
  • If we fail to deliver the agreed scope within the agreed timeline without reasonable cause, you may be entitled to a partial refund proportionate to undelivered work after a 30-day cure period.

03Monthly Retainers

  • Retainer payments are due at the start of each month and are non-refundable once the month has begun.
  • You may cancel a retainer with 30 days' written notice — no refund is issued for the current month.
  • Unused retainer hours do not roll over to the following month unless explicitly agreed in writing.

04Defective Work

If deliverables contain material defects that fail to meet the specifications in the SOW, we will remedy them at no charge if reported within 30 days of delivery. Where we are unable to remedy the defect within a reasonable period, you may be entitled to a partial refund for the affected portion of the work.

05Disputes

  • Please contact us at karan.rajput@sofeat.in in the first instance — most issues can be resolved quickly through direct conversation.
  • If a dispute cannot be resolved informally, both parties agree to attempt mediation before any legal proceedings.
  • Chargebacks filed without first attempting to resolve the issue directly may result in suspension of services and recovery of outstanding amounts through legal channels.

06Requesting a Refund

To request a refund or raise a payment dispute, email karan.rajput@sofeat.in with your project name, invoice number, and a description of the issue. We will acknowledge your request within 2 business days and aim to resolve all disputes within 14 business days.

07Governing Law

This policy is governed by English law. Nothing in this policy limits your statutory consumer rights under applicable law.
